An external ID is a unique value that identifies a person in Gallup Access, such as an employee ID or user ID from another system.
How external IDs are used
A system administrator assigns an external ID to a user when inviting them to join an organization portal or sending them an email invitation to take the CliftonStrengths assessment. This helps organizations track and manage users across systems.
Teams in Gallup Access can also have external IDs, giving each team a unique identifier within the organization.
Common formats organizations use for external IDs include:
- Email addresses
- Employee IDs
- User IDs from another system
Important: Entering the wrong external ID for a user can cause issues in Gallup Access. If you are unsure what format your organization uses, reach out to your Gallup Access system administrator before entering or updating an external ID.
If you are the system administrator, you can look up your organization’s format by navigating to Menu > Administration Tools > User Management and reviewing existing user records to see what has been entered in the external ID field.
