What are reporting groups in Q12 surveys?

Reporting groups let you segment your Q12 survey results so you can see engagement data for specific parts of your organization. Instead of only viewing one overall report for all respondents, you can create separate group reports for segments such as:

  • Location (for example, city or region)

  • Department or team

  • Manager or supervisor

  • Job type or role

Each reporting group you create is used to “slice” your survey results, so you can compare engagement across different groups and identify where to focus your action planning.

Reporting groups help you:

  • Reveal trends and differences across teams, departments, or locations

  • Make State of the Team conversations more specific and relevant

  • Track progress and support accountability over time


Reporting groups for one-time Q12 purchases from the Gallup Store

If you purchased a one-time Q12 survey through the Gallup Store:

  • You can add up to 10 reporting groups to your survey.

  • You must use the Build tab in the Survey Builder to add your reporting group questions and response options.

Each reporting group you add on the Build tab creates a separate group report when your survey results are available.


Reporting groups for Q12 surveys with a Gallup Access subscription

If you have a Gallup Access subscription you use to create surveys, you have more flexibility with reporting groups. You can set up reporting groups in two ways.

Via the respondents file (Distribute tab)
You can include one or more columns in your respondent file for each reporting group (for example, Department, Location or Manager). Each row in the file contains the correct group value for that respondent. When you upload the file on the Distribute tab, these fields become reporting groups in your survey reports.

Via questions on the Build tab (self-select)
You can add reporting group questions on the Build tab (for example, “Which department do you work in?”). Respondents choose their correct option during the survey, so they “self-select” their reporting group.

Additional details for subscription surveys

  • You can add a maximum of 100 reporting groups.

  • If you use both the respondent file and Build-tab questions, use clear, distinct names for each group. For example, you might name the respondent file field Department and the Build-tab question Self-Select Department to avoid confusion in reports.

  • If your survey is available in multiple languages and you add reporting groups via questions on the Build tab, you can provide translated text for those questions and options on the Translate tab.
